Logistical Tips for Hosting an Event at a Private Home
Here are our top ten logistical tips for renting a private home:
Budget – have a budget in place before you start your search. We recommend not spending more than 20-25% of your overall budget on the venue.
Guest count – verify your guest count before you start your search to make sure that your venue options fit your invited guest count.
Address of the Location – before you sign on the dotted line, please make sure that you check-out the address to ensure that there are no issues with the property and the city.
Location Agreement – verify that everything that you want is listed in the agreement – areas for access, rules, the guest count, hours and dates for load in and load out, overtime and guest overages.
Event Insurance – ensure that you have the proper event insurance. Ask the location company to provide you with a sample so you can guide your event professionals.
Weather contingency plan – depending on your dates, your wedding or event planner ideally will have a plan in place in case the weather is inclement.
Furniture – when our clients are having an brand activations, many times they will want to have the furniture moved out then moved back again. Determine which pieces are to be moved and who will be handling plus costs.
Power and Water – we always recommend having a generator onsite to handle all of our client’s power needs. Check with your location company if you will have access to water – this should be listed in your location contract.
Hire an experienced event producer or wedding planner, who has experience producing events at a private home. These homes are a great draw and wow factor, since people love to attend, however, there are many logistical details involved with these types of events and only an experienced producer has the training to plan accordingly.
