We get it. Insurance paperwork is probably not your favorite part of planning a wedding, brand launch, or private celebration. But when you’re bringing guests, vendors, equipment, and production teams onto a private estate, it matters.

At Gianna & Company, we take the requirements seriously—and we’re here to help you work through them.

How we help

We give our clients a clear list of the property owner’s insurance requirements to share with their brokers, vendors, and event teams. That way, everyone knows what documents are needed and when to submit them.

We help coordinate the submission of certificates of insurance and supporting documents, checking the information against the owner’s requirements, including:

  • Correct names and information for the property owner, client, and our companies, where required.
  • The correct venue address.
  • Coverage dates that account for setup, the event, and teardown.
  • The coverage types and limits requested by the owner.
  • Correct certificate holder information.
  • Required endorsements, including additional insured endorsements when applicable.

If something is missing or doesn’t match, we flag it and help coordinate follow-up with the client, vendor, or broker.

We would much rather sort out a missing document ahead of time than while a delivery truck is waiting at the gate.

Your broker provides the insurance expertise

We are not an insurance company, insurance brokers, or insurance specialists. Our role is to help organize the paperwork and communicate the property’s requirements.

Your broker advises you about appropriate coverage, explains the policy, and confirms whether it meets those requirements. A certificate of insurance summarizes coverage; it does not replace or change the policy. Required endorsements must also be provided.

Why we pay attention

Even with careful planning and excellent event professionals, accidental property damage can happen.

Having appropriate insurance in place gives you a way to report an incident and submit a claim for the insurer to review. Whether a claim is covered depends on the policy’s terms, limits, exclusions, and the circumstances. That is why discussing your event with your broker beforehand matters.

The dates deserve attention, too. Your celebration may last one evening, but your team might spend several days setting up and removing equipment. We help keep that full schedule in view when coordinating the documents.
